How to schedule Jira reports by email

Jira Cloud has two free ways to email a report on a schedule. Both are built in.

Option 1: filter subscriptions

  1. Run a JQL search and save it as a filter, for example project = ABC AND resolved >= -7d.
  2. Open the filter, then use the filter's details or more menu and choose Subscribe (or New subscription).
  3. Pick the recipient (yourself or, with permission, a group) and a schedule: daily, weekly, monthly or advanced.

Each email contains the issues that match the filter at that time. It is the simplest option, but the layout is fixed and large results are cut off with a link back to Jira.

Option 2: Jira Automation with Send email

  1. Create a rule with the Scheduled trigger and a JQL search.
  2. Add a Send email action and build the body with {{#lookupIssues}}{{key}}: {{summary}}{{/}}, or {{lookupIssues.size}} for a count.

You control the wording and recipients. Emails count toward your automation usage, and you maintain the template.

When you need a file, not an email

Stakeholders often want an Excel or PDF file rather than a list in an email. Pledona Export for Jira can run recurring exports of a saved filter to Excel, CSV or PDF, with comments and custom fields, and keeps the files in Jira for your team to download. It does not send email: it makes no outside network calls, which keeps your data inside Atlassian. It is free for up to 10 users and pending Atlassian Marketplace review. Frequently asked questions

How do I email a Jira filter every week?

Open the saved filter, choose Subscribe, pick recipients and set a weekly schedule.

Can I email a Jira dashboard on a schedule?

Jira Cloud does not email dashboards natively. Use a filter subscription for the underlying filter, or an Automation email.

Can Jira email a PDF or Excel report automatically?

Not natively. Filter subscriptions send issue lists in the email body. An export app can produce scheduled Excel or PDF files that you share from Jira.
